Monthly Bookkeeping or QuickBooks Training?

QuickBooks training helps when you or your staff want to do that work but need to understand it better. Choosing between them starts with a practical question: do you need someone to explain the process, complete the work, or help with both?

Ongoing small business bookkeeping can include recording and reviewing transactions, completing bank and credit card reconciliations, resolving unclear items, and preparing financial reports. Depending on the agreement, it may also include support for customer invoices and vendor bills.

The details matter. Before hiring help, establish who does each task, which documents you need to provide, and how questions will be handled. A clear handoff makes it easier to finish the month and use the reports.

Does hiring a bookkeeper mean giving up control?

Hiring a bookkeeper means assigning responsibility for agreed tasks while you continue making business decisions.

You should know who is working in your file and understand the scope of that work. You can still review your reports, ask questions, and stay involved in decisions about spending, hiring, pricing, and business priorities.

You might be comfortable with day-to-day invoicing but uncertain about reconciliation. An employee may need to understand how to record payments. You may want to read your reports with more confidence, even if someone else maintains the books.

Customized QuickBooks Online training should focus on your business and the tasks you’re responsible for. That could include everyday transaction handling, bank feeds, reconciliation, or understanding financial reports, depending on your needs and the condition of the file.

The goal is understanding you can use again. A demonstration is helpful, but being able to repeat the process after the session is what makes training practical.

What if QuickBooks is already a mess?

If the books are behind or inaccurate, a review or cleanup may be needed before training or regular monthly work can be your best friend.

For example, an unexplained balance may come from earlier entries rather than the way you’re viewing a report. Missing reconciliations, duplicate transactions, and incorrect account balances require investigation. Another lesson on where to click won’t make those issues disappear.

Think of it as learning to drive with a dashboard warning light on. Learning matters, but someone also needs to find out what the light means.

A review helps establish the condition of the file and a sensible order for addressing problems. Once the books are in a workable state, you can decide who will maintain them and what training that person needs.

Can you combine bookkeeping and training?

An owner might delegate the monthly work but want guidance on reading reports. A staff member might handle invoicing while a bookkeeper completes other agreed tasks. Another business may want training so it can manage more work internally over time.

The arrangement works best when responsibilities are clear. Decide who enters information, who reviews it, who handles reconciliation, and who answers questions. Avoid leaving a task between two people who each assume the other has it covered.

How do you choose the right help?

Start with the condition of the books, the knowledge of the person doing the work, and the time available to keep it current.

Ask yourself:

  • Are the books current and the bank and credit card accounts reconciled?
  • Do I understand the work I’m responsible for?
  • Do I have time to complete it consistently?
  • Who will handle it next month?

You don’t have to choose based on what you think a business owner “should” be able to do. You need an arrangement that fits your unique small business needs and will give the books the attention they deserve.
